Quick Answer
How do I follow up on Facebook leads quickly?
Reply the same day, and within minutes when you can, using the phone or email the person just submitted. Send a short message that names the offer, then record a status, a note, and a follow-up date. This process fits leads saved from a form you host. Instant Form leads are not copied into LeadFormHub.
Why does speed matter on Facebook leads?
A person who just submitted is still thinking about the offer. A same-day reply meets them there. A reply the next afternoon often meets someone who has asked two other companies or forgotten the ad. Measure your own connect rate by how fast you replied. Do not quote a generic industry percentage.
Speed is a habit you can see. Open the new rows before you open older ones. Send the first message before you perfect a proposal. A short note that names the offer beats a long email that arrives after they have moved on. The gap between submit and that first reply is speed to lead.
Facebook traffic is often a first touch. The person may remember the picture in the ad more than your name. Repeat that offer in the first line so the message does not look like a wrong number.
Reply before you debate the campaign. A lead that arrived this morning is easier to reach than the same lead tomorrow, even when you do not know yet whether they will buy. Write the first message from the offer in the ad, not from a script about your company history. If several people share the inbox, agree who sends that first message so the lead does not get two versions, or none.
Meta changes its settings often, so check the current options in Ads Manager and Meta Business Help. Nothing here depends on a hidden Meta switch. Work the leads you can see, and confirm any lead-delivery screen in your own account before you rely on it.
What is a simple five-step follow-up process?
See the lead, choose a channel, send one short message, write down what you did, and try again only on the date you set. High-intent forms go first. The same five steps apply to every campaign so a busy day does not invent a new process.
- See the lead the same day. On Pro and Business, an email alert tells the account when a hosted form is submitted. On Free, open the leads table on a schedule you will keep. An alert is a nudge. The table is the record. Instant Form submissions do not fire that alert, because they never arrive here.
- Sort by what the form promised. A quote, a visit, or a “contact me” request goes before a newsletter. Read the one qualifying answer, such as timing, and call those people first. Do not build a score. You choose the order.
- Pick one channel for the first touch. If the form collected a phone and the offer needs a conversation, call first. If you miss them, send the short text from your own phone. If the form collected only an email, send the email. Do not start on three channels at once.
- Write the outcome on the lead. Set a status, add a note in your own words, and set a follow-up date if you still need them. A row with no date will wait until someone happens to look. These three fields exist on every plan.
- Work the date, then stop on purpose. When the date arrives, try once more and move the date if they are still worth it. Choose a limit before you start, such as three tries, and then set a final status. Three is a process choice, not a benchmark.
What should the first email and text say?
Name the offer, say how you will reply, and ask for one next step. Keep both messages short enough to send in a minute. The samples below are copy you paste. LeadFormHub does not send follow-up texts. An automatic email runs only on a paid plan, and only when the lead has an email.
Edit the business name and the offer before you send anything. Do not promise a clock time you will miss. If a teammate will call, say so. The automatic email, on Pro and Business, can use {{name}} for the name on the lead. It does nothing if the form never asked for an email.
Subject: We have your request from the ad
Hi {{name}},
Thanks for asking about the offer in the ad. A person on our team will reply using the contact you submitted. If you already know the best time for a call, reply with that time.
This note confirms the form arrived. It is not a quote.Hi, this is [Your name] at [Business]. You asked about [offer] from the Facebook ad. Is this a good number to call?
What do you do when a Facebook lead never answers?
Silence is not proof of a fake lead. Log the attempt, set a new date, and try again until you hit the limit you chose. If the number is wrong or the person says they never filled a form, mark that in the note and stop. A code check filters some of those rows only on a form you host.
Call once, leave a short voicemail if you have one, and send the single text. Then wait for the date. A second call the same hour mostly annoys people who are in a meeting. Write what you tried so the next person does not repeat it.
Separate three outcomes in the note: no answer, wrong number, and not interested. No answer stays in the queue. Wrong number is a contact problem. Not interested is a real person who does not want the offer. The fake leads from Facebook ads guide is for the second group. Do not pause a campaign because the first group has not picked up yet.
An Instant Form can prefill a number the person does not check. You cannot add OTP inside that form. If unanswered rows are mostly bad numbers, send the next campaign to a landing page and require a code there. SMS OTP supports India mobile numbers. Email OTP works worldwide. Both are off Free and share one monthly quota on Pro (100) and Business (1,000). The OTP comparison shows where that code belongs.
How do you track follow-up in the leads table?
Open the lead, set a status, write a note, and set a follow-up date. Assign an owner when the plan includes team members. On Pro and Business you can also move a card on the Kanban board and turn on an email alert. None of this imports leads from Meta.
The status answers where the lead stands. The note answers what you already said. The date answers when to try again. Use words your team will still understand next week. Pick a few labels and use them the same way. Check the follow-up date at the start of the day and clear those rows before you look at new campaigns. A date that nobody opens is the same as having no process at all.
Assignment is available when the plan has team seats. Pro includes 3 team members and Business does not cap the team. Free has no team seats, so the account owner works the list. The Kanban board is on Pro and Business. It shows the same leads in columns. It does not replace the note or the date.
If the lead came from an Instant Form, it is not in this table. Keep that list in Meta, or send the ad to your page so the next person submits a form you host. Compare the two paths in Facebook Instant Form vs landing page. The general process, beyond Facebook, is how to follow up on leads quickly.
Which follow-up mistakes make good leads look fake?
Good leads look fake when nobody replies, when three people reply with different stories, or when the only record is a personal inbox. They also look fake when you text from the product, which you cannot, or when you treat every silent row as a bot and pause the campaign.
- Waiting for a perfect proposal. Send the short confirmation first. The detailed answer can follow after the person responds.
- Leaving the outcome in one person’s inbox. If they are off, the lead has no date and no note. Write both on the row the same day.
- Starting with three channels. Call or email, then one backup message. A burst of messages is harder to track than one clear try.
- Promising a time you will not keep. The sample email confirms the form and offers a reply. Change it if your team can honestly be faster.
- Expecting the product to text the lead. Follow-up texts go from your phone. OTP is a verification code, not a sales message, and SMS OTP is for India mobile numbers.
Frequently asked questions
These answers cover timing, the messages you send yourself, and how a silent lead is logged. They apply to leads saved from a form you host. Instant Form leads stay in Meta unless the person also submits your own page.
How fast should I reply to a Facebook lead?
Reply the same day, and within minutes when you can, for any request that asked for a call or a quote. A short acknowledgement is enough. Track your own results by response time instead of using a published benchmark.
Can LeadFormHub text the lead for me?
No. You send follow-up texts from your own phone. SMS OTP is a code that checks an India mobile number before a hosted form is saved. It is not a follow-up message, and it is not on the free plan.
Do Instant Form leads show up in the leads table?
No. There is no Meta integration. The table shows leads submitted to forms you host. Send the ad to that page if you want status, notes, and follow-up dates in LeadFormHub.
What if I cannot watch the inbox all day?
On Pro and Business, turn on the email alert and an automatic reply that sets expectations. On Free, check the table at set times. Either way, write a follow-up date so the next action is visible.
Should I call or email first?
Call first when the form asked for a phone and the offer needs a conversation. Email first when that is the only contact, or when the offer was a guide. Match the channel to the promise in the ad.
Reply while the ad is still fresh, then make the next step visible on the lead. Publish the hosted form with the lead generation form builder, use the Facebook ads landing page form if the click still needs a page, and keep fields, checks, and follow-up together in the lead generation forms guide.
